Anyways, inside the workshop I had an entire section on What actually happens after someone pays you.
Because a lot of service providers feel like they hate their business and things feel messy with a client experience, but it's not their service or the output, it's the chaos that happens right after the sale and the feeling of not having ability to streamline that initial process.
The Problem (That No One Really Talks About)
You land the client. 🎉
You’re excited. They’re excited.
And then…
You’re digging for links
You’re sending 4 separate emails
You forgot to ask for something important
They’re not sure what to do next
You’re already feeling behind
Sound familiar?
You my friend have a systems problem - and I hate to be the one to break it to you ;)
What I Do Instead
I send one email. Yes... that means my fancy "system" is a glorified welcome email. But it works!
One email that:
sets expectations
walks them through exactly what happens next
removes any confusion
and makes them feel like they made the right decision
And this one email has probably saved me more time (and stress) than anything else in my business. Well that and ignoring 99% of the so called "gurus" out there, but maybe I'll leave those stories for another day.
Here’s the Exact Email 👇
This is the email my clients receive right after they sign on for a Podia website build.
Nothing fancy, but VERY intentional.
Let Me Break It Down
1. Subject Line: Set the Tone Immediately
This isn’t the place to be clever.
It’s the place to say:
👉 “You’re in the right place.”
You want it to feel:
warm
clear
human
Not robotic. Just whatever your real tone is and make sure it's self-explanatory.
2. Opening Line: Reassurance First, Not Information
Most people jump straight into logistics.
I don’t.
Because your client is thinking:
“Okay… what happens now?”
So your first job is to make them feel safe and excited (especially important if they have just invested a ton of money!).
3. The Next Steps (This Is Where the Magic Happens)
This is the most important part of the whole email.
If your business ever feels chaotic… this is usually why.
A clear, step-by-step “here’s what happens next”:
removes anxiety
prevents back-and-forth emails
sets boundaries without being harsh
makes you look incredibly organized
This is also where your systems start doing the heavy lifting.
You will want to include things like a client agreement or contract, a link to book a kick-off call (if that's in your workflow), and any relevant questionnaire links. Think of all the things that right now you probably manually send and that are super annoying to chase down. Put them in this email!
4. Reassurance & Support: “I’ve Got You”
Even if everything is clear, people still hesitate sometimes, so I always include a simple line that says:
👉 you can ask questions
👉 you’re not alone in this
Basically something that lets them know you are there for them throughout this process of if they are confused at all that you are just one email away.
5. Closing Energy: End on a Feeling
Don’t just… stop the email.
End it with:
excitement
confidence
momentum
6. Clear Next Action : Tell Them What To Do
Never assume they’ll “figure it out.”
If you want them to:
fill out a form
book a call
upload something
👉 say it clearly and link it directly

Final Thought (This Is the Shift)
If you’ve been feeling like:

you’re answering the same questions over and over

It’s probably not because you need more clients.
👉 It’s because your onboarding isn’t supporting you.
Fix this one piece… and your whole business starts to feel lighter.
