Today I wanted to share a video that is not technically about social media marketing, but is definitely related to business. Almost everyone that works or has an email address knows how stressful and time consuming email correspondence can be. So to help you combat that, we made a video sharing our tips for staying on top of your email game. Don’t forget to check out the video at the bottom of this post below!
Here are some tips for combating email overwhelm and taking back your inbox
Send less emails and you will receive less emails.
While this may sound obvious, by making sure you have provided all the information you need to respond to the person you are emailing you will save yourself the time and effort of having to go back and forth with them.
Keep it simple and answer the sender’s questions as simply and briefly as possible. If you’re the one asking the questions, be specific and provide instructions that are easy to follow. Try listing your questions underneath a bold heading that states something like, “below are five questions I need answered by [insert exact time]. Can you please reply with the answers at your earliest convenience.”
Designate 3 times during the day to reply to emails for 15 minutes.
This way you will cut down the hours you’re spending to 45 minutes a day. We recommend designating 9AM, 12PM and4PM, that way you can catch emails that are being sent throughout each part of the day.
Set turnaround expectations.
Be clear about the turnaround time for your email correspondence. Be realistic about how quickly you can respond to emails and hold yourself accountable even on rainy days. If it helps, set up an automated reply that will send a response right away and notify the sender how soon they can expect an email back.
Do not send emails at night.
By responding to emails after work in the evenings or at night you are setting the expectation that you will still respond to emails if they are sent to you at odd hours. This could backfire if you are unavailable one evening but have created the expectation that you will respond. Save your replies for the day light!
